The 17³Ô¹Ï (17³Ô¹Ï) Faculty of Medicine is seeking a highly organized and proactive Administrative Assistant (ADS-4) professional to support the Clinical Learning and Simulation Centre (CLSC) for a 3-month term appointment. The CLSC is a fast-paced, interdisciplinary learning environment supporting medical, nursing, allied health, and continuing professional education through simulation-based learning.

Reporting to the Director, CLSC, this role provides administrative and operational support to ensure the efficient day-to-day functioning of the Centre during a period of increased activity.

RESPONSIBILITIES:

  • Provide day-to-day administrative support, including calendar management, scheduling, meeting coordination, and minute-taking
  • Serve as a primary point of contact for faculty, learners, staff, and external partners
  • Coordinate logistics for simulation activities, meetings, education sessions, and special events
  • Maintain accurate administrative records, databases, and filing systems
  • Support CLSC staff, simulation educators, and faculty in program delivery
  • Assist with onboarding and administrative coordination for instructors, standardized patients, and short-term learners
  • Prepare correspondence, reports, and presentation materials as required
  • Support smooth office operations and assist with accreditation and reporting documentation

QUALIFICATIONS:

  • A post-secondary diploma in office administration, business administration, or a related field is required.
  • Minimum three (3) years of administrative experience, preferably in a post-secondary, healthcare, or complex organizational environment, is an asset.
  • Strong organizational, time-management, and communication skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).
  • Ability to manage competing priorities, work independently, and maintain confidentiality.
