ADS Level 6 – Administrative Assistant - Faculty of Arts
$57,856 to $63,546 per annum, pro-rated to term, as per CUPE 1870
ASAP until April 30, 2026 (Term may be reduced or extended depending on performance, available funding, and departmental requirements)
The Faculty of Arts is seeking applications from qualified individuals to provide administrative support services to two institutes and a research lab and their associated coordinators and staff: the L. M. Montgomery Institute, including the Journal of L. M. Montgomery Studies; the Institute of Island Studies, including the Master of Arts in Island Studies (MAIS) program; and the GeoREACH Lab, including non-teaching related work of the Canada Research Chair. The position’s workload will be divided one-third to each unit and will report directly to the coordinators of each unit.
RESPONSIBILITIES:
Providing logistical support to hiring program staff and students, scheduling meetings, booking rooms and catering, coordinating agendas, planning travel
For the LMMI/JLMMS, tracking journal submissions, processing contracts, communicating with submitters and peer reviewers
For the MAIS program, assisting with the development of teaching schedules, curriculum and calendar changes, and maintaining the sessional roster
Managing the three units’ budgets, processing expenses, and financial reporting
Assisting with research grant applications and logistics
Supporting student and public queries and requests through accurate, timely, and professional communication
Recording meeting minutes, ensuring key discussions, decisions, and action items are documented and actioned for each of the three units
Assisting with the development, upkeep, and filing of, correspondence, reports, promotional materials, and presentations
Assisting in planning, coordinating, and promoting special events, including conferences and workshops for the three units
Additional duties as assigned
QUALIFICATIONS:
Successful completion of a recognized post-secondary administrative assistant and/or a minimum of 2 years of relevant work experience
Demonstrated strong abilities in 17³Ô¹Ï systems including Microsoft suite, Colleague, Infosilem, and myupei
Familiarity with 17³Ô¹Ï processes, regulations, and policies and the roles of the various units on campus is an asset
A proven ability to work independently and as a member of a diverse team, exercising a high degree of judgment, professionalism, adaptability, confidentiality, and positivity in their work
Strong time management, organizational and interpersonal communication skills
Excellent written and verbal communication skills
